Create an implementation plan
Keep your employees up to date and tell them early on what to expect. Communication, training, content conversion and user support should be considered when drawing up the plan. It may also be useful to include special incentives (rewards) for using SharePoint Online. If your employees know how they can benefit from the software, they will be more willing to use it.
Develop a key performance indicator system to track the use and success of SharePoint in the company
When implementing SharePoint for the first time, you should also integrate reporting and analytics software(such as Power BI integrated with SharePoint). This will allow your managers and IT department to track and measure SharePoint usage. This will give them useful information to find out which features of SharePoint are being used the most and which features may need more explanation.
One of the best ways to get your employees to use new software is to educate them and let them know the long-term benefits SharePoint will bring to their daily work. Educate them on all the different ways SharePoint Online can help them in their daily activities by making tedious or even time-consuming tasks easier and giving them more time for productivity. Also show different scenarios for common challenges in your organization and how SharePoint Online can help solve these challenges.

Starting with the amazingly accurate search, with which you can search your entire SharePoint database or even individual pages for files, comments, users, etc., right through to adjustable automation, such as rule-based deletion of documents according to individually set deadlines or access numbers. Get feedback from your employees
In addition to implementing a metrics system that allows you to track how the company is using SharePoint Online, you should also gather direct feedback from employees. This way, you can find out what aspects of SharePoint are working for your employees, what needs to be improved and what can be neglected at the current state. Regardless of whether the feedback is positive or negative, you should always act on it so that your employees know that their feedback is being heard from a higher level. This not only increases employee satisfaction in the workplace, but also gives them more incentive to use SharePoint as they feel their voice is being heard.

Make adjustments if necessary
Once the feedback comes in, you should assess the issues and concerns of your employees and make adjustments as needed. Don't make all the changes at once, as this could cause confusion for employees, especially if they are already used to the new software. Instead, implement the new changes in SharePoint slowly and in order of importance. Inform employees as soon as these changes are made and how they will affect productivity and work efficiency.
